PTO MEETING 10/04/2006
Present were Mindy Martin, Tanya Thoroughman, Kathy Howard, Christina Goddard, Rena Cox, Crystal Charles, Thanea Kelly, Mandee Cyrus, Tara Byrd, Tara Estep, Norma Shoemaker, and Tim Allen.
The meeting was called to order by Mindy Martin, President.
The Agenda was as follows:
Everyone was given a copy of the new slate of officers and committee members for the upcoming year, and asked if there were any corrections to the contact numbers or e-mail addresses.
Mindy discussed setting a regular meeting date that will be the same each month
and opened the floor for suggestions.
After discussion, the 1st Wednesday of each month was set as regular meetings
and the time will be 3:30.
Norma was asked for an update on our tax exempt status, our organization's tax id #. Norma indicated we do have the paperwork and she will look into getting everything
in order to set up a new account under that id #.
Mindy also suggested, as had been discussed at a meeting last year, that the
checking account be changed to require two signatures on checks written.
Mindy said PTO was approached by Ryan Stockham, Technology Dept., about PTO helping
to fund video conferences for the upcoming year.
He indicated that in the past, funds have been very limited and the cost was
covered on a as-needed basis.
Each presentation typically costs $50 and he
normally has 20-25 in a school year.
After discussion between those present, the decision was made to allot $1500 for the school year to Ryan to use as he deems necessary to provide video conferences for grades K-8 only.
Discussion was held concerning the Budget for the upcoming year, in comparison
to what the budget was last year.
The budget for the 2006-2007 year was approved as follows:
AR Store $7,000
Spirit Store $1,000
COSI $2,000
Field Trips $5,000 (to include one per grade level)
MEPS Musical $300
Trophies/Awards $500 (Geography Bee and Science Fair)
Teacher Appreciation as needed
Gifts
Classroom Video Conferences $ 1500
Mindy told everyone about a package available from PTO Today that includes forms
and templates for various activities that might arise during the typical year-
Volunteer sign-up Form, Parent Involvement Flyer, Sample By-laws,Committee
Chair Tips for Success and many others.
Also available is PTO Manager Software. All
these things are available to view on the PTO Today website and Mindy suggested
that everyone check it out in case we decide to uitlize it at a future date.
The cost for the package is $199.
Upcoming events and dates:
Frankenmuth Orders due October 11th.
Frankemuth Delivery date is October 26th.
Rally to Beat Valley is October 12th.(Spirit Store)
AR Store Will be October 25th(Primary)
October 26th(Middle)
The Spirit Store Committee will need to determine the set-up times for that day and organize workers.
The Secret Santa vendors have sent catalogs with their info and Crystal was asked
to review those and report on that by next meeting.
She will need volunteers and other members to help with set-up and organizing
volunteers.
This event is not typically a money-making project,
but rather a service to the students to be able to shop for their family and
friends.
The Box Tops Committee should meet with Norma and each other to make the transition smooth and get things going for this year.
The next meeting date will be November 1st.
